Privacy policy
Last updated: July 2026
The short version
Your documents never leave your computer. BentoPDF performs all PDF viewing, editing, OCR and conversion on your device. We run no cloud processing for your files, embed no advertising trackers, require no account, and collect only the minimum data needed to sell and activate licenses and to answer your emails.
1. Who is responsible
BentoPDF ("we", "us") is the data controller for the processing described in this policy. For any privacy matter, contact [email protected].
2. Your documents
The BentoPDF desktop application does not upload, sync, index or transmit the contents of any document you open or create. All document processing happens locally on your computer. We have no technical means to access your files.
3. What we process, and why
- Purchases. Checkout is operated by our merchant of record, Polar Software Inc., which processes your name, email address and payment details to complete the transaction, issue invoices and handle taxes. We receive your email address and order details, not your payment card data. Legal basis: performance of a contract.
- License activation. When you activate a license key (and when a trial starts), the app sends your license key and a device identifier derived from your hardware to our licensing server, together with your IP address as an unavoidable part of the network request. This binds the license to your computer and prevents abuse. After activation, the app verifies your license locally and works offline. Legal basis: performance of a contract and our legitimate interest in preventing license fraud.
- Support and contact. If you email us, we process your email address and the contents of your message to help you. Legal basis: our legitimate interest in providing support.
- Website. The Site is a static website. It sets no cookies, runs no analytics scripts and embeds no third-party trackers. Our hosting provider processes standard server logs (IP address, user agent, requested pages) for security and delivery. Legal basis: our legitimate interest in operating a secure website.
- In-app telemetry. None. The app does not send usage analytics or the contents of your documents anywhere.
4. What we do not do
- We do not sell or rent personal data, and never have.
- We do not use personal data for advertising.
- We do not profile you. There are no accounts, so we do not know who uses BentoPDF.
5. Third-party services
We do not sell or share your personal data with anyone for their own purposes. We use third-party providers to run BentoPDF: payment processing through our merchant of record, website hosting, DNS and network security, and email delivery. These providers process data according to their own terms and privacy policies, or on our behalf where applicable.
We may also disclose data where required by law, or in connection with a merger, acquisition or sale of assets, in which case this policy will continue to apply to previously collected data.
6. International transfers
Our service providers may process data outside your country, including in the United States. Where data of EEA, UK or Swiss residents is transferred internationally, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses or an adequacy decision.
7. Retention
- Order and license records: kept for as long as your lifetime license is valid, and as required by tax and accounting law.
- Activation records: kept for the life of the license to allow reactivation and prevent fraud.
- Support correspondence: kept for up to [24] months after the last message.
- Server logs: kept for up to [30] days.
8. Your rights
Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal data, to object to or restrict certain processing, and to withdraw consent where processing is based on consent. EEA and UK residents may lodge a complaint with their supervisory authority. California residents have the rights provided by the CCPA/CPRA, including the right to know, delete and correct; we do not sell or share personal information as defined by that law. To exercise any right, email [email protected] and we will respond within the legally required period.
9. Security
License verification uses public-key cryptography; license files are bound to both your key and your device. Access to order data is restricted to what operating the business requires. No method of transmission or storage is completely secure, but we design for the minimum possible data footprint: what we never collect cannot leak.
10. Children
BentoPDF is not directed at children under 16 and we do not knowingly collect personal data from them.
11. Changes to this policy
We may update this policy from time to time. The "Last updated" date above reflects the latest revision, and material changes will be announced on the Site.
